A summary helps you and your colleagues check what was agreed. It is also the basis for your quote.
What belongs in it
- Who, when, where. Customer, date and reason.
- Wishes and question. What does the customer want to achieve?
- Situation. What is there now, with dimensions and photos.
- Agreements. What do you promise, what does the customer do?
- Action points. Who does what, and by when?
- Budget and schedule, as far as discussed.
Example
*Customer: the De Vries family. Wish: new kitchen with island. Situation: space of 4 by 5 metres, connections on the north wall. Agreement: quote follows before Friday. Customer action: send photos of the meter cupboard.*
Tips
- Write the summary right after the conversation, not a day later.
- Keep sentences short and concrete.
- Separate facts from assumptions.
- Send the customer a short confirmation.
