As soon as the customer approves, you want to invoice. Many companies then retype everything in an accounting package. That costs time and causes mistakes.
What must an invoice contain?
Your details and VAT number, the customer's, a unique and consecutive invoice number, the date, description, quantities, prices, the VAT rate and VAT amount, and the final payment date.
Why a fixed copy?
An invoice must stay as it was sent. So make a copy of the quote at the moment of invoicing. If you change the quote later, the invoice does not change.
Tracking payment
Keep track of whether the invoice is open, paid or cancelled, and automatically send a reminder when the payment term has passed. Never delete invoices; cancel them.
With Dealnote you create an invoice from an approved quote with one click (number F-YYYY-0001), email it with its own customer page and reminders are sent automatically. For Moneybird the invoice can be created as a draft.
