The company
Kade IT manages the computers, network and cloud environment of offices with 10 to 80 employees. A new customer starts with an on-site intake: how many workstations are there, which laptops are due for replacement, which licences are running and how is backup done today?
Where it got stuck
The intake produced a page full of notes. The account manager turned those into a proposal in an old Word file, adding up workstations, licences, hardware and monthly management fees by hand. The owner had no overview of which proposals were still open.
How it works with Dealnote
- The intake is recorded. Dealnote puts the wishes, quantities and agreements in a summary and creates the quote lines.
- Calculation rules work per workstation: monthly management fee, one licence per user, backup storage per user and, optionally, a new laptop with installation.
- On the road the account manager often works in Claude. Through the Dealnote connector he asks, for example: "Make a quote for Bakker Advocaten based on these notes, 18 workstations." Claude creates the quote with Kade IT's catalogue and calculation rules, and the account manager checks it in the app.
- After approval, Dealnote sends a webhook to Kade IT's own ticket system, so onboarding is ready straight away.
- In the overview the owner sees revenue, conversion and which quotes need follow-up, per account manager.
An example
At a law firm the following is mentioned: 18 employees, 6 laptops older than five years and backup of the mailboxes. The calculation rules turn that into 18 managed workstations, 18 licences, 18 times backup storage and 6 laptops with installation. One-off and monthly costs are on separate lines.
