The company
Glans Facilitair cleans offices, schools and practices. Every new customer starts with a walk-through: the account manager walks through the building with the facility manager and discusses how often each room needs cleaning.
Where it got stuck
During the walk-through, square metres were scribbled on a notepad. Back at the office the account manager had to convert them into hours per week and a monthly price, with a spreadsheet only he understood. If the customer then wanted the washrooms done more often, the calculation started all over again.
How it works with Dealnote
- The account manager records the walk-through and takes photos of special areas, such as a glass stairwell or a kitchen. The AI lists the square metres and frequency per room type.
- Calculation rules do the rest: per room type a standard in square metres per hour, times the frequency per week, times the hourly rate. The amount of consumables for the washrooms also follows from a formula.
- The result is a quote with a fixed monthly price and a breakdown per room. Notice period and indexation are in the standard terms.
- The customer is an international company, so the quote goes out in English, with the same breakdown.
- Does the customer want the washrooms cleaned daily instead of three times a week? The account manager creates a new version. The customer only sees the latest one, and the old one can no longer be signed.
An example
During the walk-through the following is mentioned: 640 m² of office twice a week, 80 m² of washrooms three times a week and 45 m² of kitchen every day. The calculation rules turn that into hours per week and a monthly price, plus consumables. The planner sees right away in the summary which days are needed.
