Making a quote for a cleaning company

A cleaning quote is about frequency, area and what is and is not included. Here is how to make it clear.

With cleaning the customer does not buy a product but a recurring service. The quote must make clear what they get each time and what it costs.

What you need to know beforehand

  • Area and type of space. Office, shop, practice, stairwell or home.
  • Frequency. Daily, weekly or one-off.
  • Time. Before, during or after opening hours.
  • Specifics. Sanitary, glass, floors or special cleaning.

Structure of the quote

  1. Description of the service, per room or per task.
  2. Frequency and times.
  3. Price, per month, per visit or per m².
  4. What is included. For example cleaning products, equipment and waste handling.
  5. What is not included. For example exterior window cleaning, deep cleaning or extra visits.
  6. Term and notice period.

Calculating with hours and area

A common approach is to take the time per m² or per task as a norm and calculate hours and price from it. With a fixed norm you work out a new quote quickly and stay consistent.

Take a walk-through

Walk the space with the customer and note what stands out. Photos help to support agreements later and to determine the right price.

Following up

After sending, ask whether everything is clear, and propose a trial period if needed.

With Dealnote you capture the walk-through as a conversation and turn it into a quote, in your customer's language. Try it free.
