As a freelancer you have no sales department: you are the salesperson, the doer and the administration. A good quote quickly costs more time than you want. This checklist helps.
What must be on it at minimum
- Your company name, address, registration number and VAT number.
- The customer's name and address.
- Quote number, date and validity period.
- Description of the work, quantity and price per line.
- Amount excluding and including VAT.
- Payment term and your conditions.
What makes a quote stand out
- Start with what you heard. Two sentences about the customer's wish show you listen.
- Make it concrete. State what you do, when, and what it delivers.
- State clearly what is not included. It prevents arguments.
- End with a question or next step. *Does this fit? Then I will agree a start date with you on Thursday.*
Saving time
- Prepare a fixed text for your terms and payment term.
- Keep a list of your services and rates and reuse it.
- Make the quote within a day. Sending fast works in your favour.
- Let the customer approve online, so you do not wait for a signed PDF.
Freelancers and VAT
Which VAT rules apply to you depends on your situation. Consult your accountant or the tax authority if you are unsure. Always show the chosen rate clearly on the quote.
