The company
Warmtelijn supplies heating, heat pumps, plumbing and piping to installers. Inside sales answers requests by phone and email, and the account managers visit installers on site. The range has more than 14,000 items, with prices that change every week.
Where it got stuck
A large request, such as underfloor heating for thirty homes, took an afternoon of looking things up. The account manager wrote down on site what the installer wanted, typed it up in the evening and then searched for the item numbers. Meanwhile the installer also asked another wholesaler for a price.
How it works with Dealnote
- The product catalogue comes straight from the ERP: every night the ERP sends items and prices to the Dealnote API. So a quote never contains an old price.
- The account manager records the conversation on site and takes photos of the drawing. The AI picks the quantities and house types out of the conversation.
- Calculation rules work out the materials. For underfloor heating: pipe per m², one manifold per home, the number of circuits per manifold and the fixings.
- Requests from the website form come in through an incoming webhook and immediately become a draft quote for inside sales.
- The quote goes to the installer as a customer link. As soon as they sign, the deal is automatically marked as won in HubSpot.
- Customers across the border get the quote in German, with the same items.
An example
An installer says: "Thirty terraced houses, 62 m² of underfloor heating per house, six circuits each." The calculation rule turns that into 1,860 m² of underfloor heating, with the matching metres of pipe, thirty manifolds with six circuits and the fixings. Prices come from the ERP. The account manager checks the quote in the car and sends it.
