Example case

Kassenbouw Hoek: a forty-page quote, spread over five conversations

You don't sell a greenhouse in one conversation. This is how a greenhouse builder keeps every conversation, person and calculation together in one project.

The company

Kassenbouw Hoek builds and renovates greenhouses for growers in the Westland region. A job starts with an introduction at the grower's, followed by conversations with the grower's adviser, the heating installer and sometimes the bank. Only after about six weeks is there a forty-page quote.

Where it got stuck

Every salesperson had their own notebook. What was agreed about the gutter height in the second conversation was nowhere the work planner could find it. The quote itself was put together in Word every time, with the risk of old prices from a previous quote.

How it works with Dealnote

  • Every request becomes a project. All conversations go in it, and the grower, the adviser and the installer are listed as people at the customer.
  • After each conversation the AI updates the file: what is known, what has been decided, which questions are still open and what contradicts each other.
  • For a recording with four people, Dealnote suggests who is who. The salesperson confirms the names with a tap.
  • The work planner is a member of the project and reads along, without seeing all the other conversations in the company.
  • The company's own Word quote is imported as a template. Dealnote recognises the chapters and fills in only what differs per customer.
  • Calculation rules work out glass, gutters and trusses from length, width and bay width. The AI doesn't calculate anything itself.
  • Above € 250,000 a manager has to approve the quote before it can be sent. If the grower changes something, it becomes a new version with the same number and -2 after it.

An example

A grower wants a greenhouse of 120 by 84 metres with a 4-metre bay width. In the third conversation the gutter height is set at 7 metres. The calculation rule turns that into 21 bays and works out the gutters and glass. The quote has the chapters from the template, with the agreements from all conversations in the right section.
