A heat pump is a big purchase and the quote often contains many parts. A clear structure prevents misunderstandings.
Structure of the quote
- Starting situation. Type of home, year built, current heating and what you measured or requested.
- The proposal. Type of heat pump (for example air-to-water or hybrid), brand, output and the design of the indoor and outdoor unit.
- Conditions. For example insulation, heat emission system (radiators or underfloor heating) and the assumptions on which the output is based.
- Parts and work. Heat pump, buffer tank, piping, electrical connection, removal of the old system and commissioning.
- Schedule and handover.
- Price, payment terms and warranty.
Common pitfalls
- Too vague about assumptions. If a heat pump turns out too small, the customer wants to know why. Record what you calculated on.
- Unclear what is included. Think of extra radiators, changes in the meter cupboard or a new drain point.
- Extra work. Agree beforehand how you handle unforeseen work.
- Subsidy and conditions. State only what you are sure of and refer to the current official conditions.
Photos are worth gold
A photo of the installation spot, the meter cupboard and the heating prevents arguments and helps make an accurate quote.
With Dealnote you add photos and notes to the conversation and they carry into the quote. See solutions for installers.
