Making a quote for free: what works and what does not?

You can make quotes for free, but every free option costs something in time or limits. Here is how to choose well.

If you want a free way to make quotes, there are roughly three routes.

1. A template in Word or Excel

Free and familiar. The downside is the manual work: you retype every quote, calculate yourself and keep track of quote numbers yourself. With a few quotes a month that is fine, after that it gets slow and error-prone.

2. A free online generator

You fill in fields and get a PDF. Handy for a one-off quote. Watch out: there is often advertising or a watermark, your products are not remembered, and your data sits with a party you know little about.

3. A free plan of a quote tool

You get the core of a real program, with a limit on volume or features. That is usually the best choice if you want to grow, because you do not have to move once it gets busier.

What to check with "free"

  • The limit: what are you not allowed to do, and when will you hit it?
  • Your data: where is it and can you take it with you?
  • Exit cost: how much work is it to switch later?
  • Appearance: can you put your own logo and details on the quote?
